    PRE-MEETING CHECKLIST

    Registration:

    Pre-register for Committee(s) Meeting(s) - There is no fee to attend an ASTM Meeting but registration is required (note: meeting registration only, contact hotel for accommodations).
    • Pre-registration on the ASTM website saves you time so you can go directly to the pre-registration counters on-site for badge retrieval
    • Pay in advance online for committee activity fees and/or food events to avoid paying on-site
    • If you're unable to pre-register prior to the meeting, registration and payment of fees/events are available on-site

    SCHEDULE

    PREREGISTRATION

    You must be registered to attend ASTM Meetings. Use our online registration form where you have the ability to register for multiple events, pay fees in advance using a credit card, and receive an electronic confirmation. You may register online at the "Register" link above.

    When you preregister online, you will receive emails on committee meetings, final announcements, and other information that will help you prepare for your meeting. The registration information significantly assists us in preparations for the committee week.

    The cut-off for preregistration is Wednesday, October 16th, 2019. After this date, please register on-site at the ASTM Registration Desk at the The Marriott Marquis Houston.


    HOTEL INFORMATION

    All meetings will be held at The Marriott Marquis Houston, 1777 Walker Street, Houston, TX, 77010.

    The Marriott Marquis Houston still has availability on certain dates. Additional rooms have been secured and are listed below.

    Hotel Reservations:The October Committee Week Hotel provides prime meeting space for your committee meetings, events and activities. ASTM International is legally bound to fill the contracted guest room block and an inability to fill the block will result in severe financial penalties which could affect negotiations and increase costs for future meetings. Please support ASTM International by reserving your sleeping room at our official October Committee Week Hotel and Meeting site.

    Reservations may be made via the hotel's online reservation system at The Marriott Marquis Houston Reservations. Reservations may also be made by telelphoning the hotel directly at (713)-654-1777 or 1-(800) 228-9290. One night's room and tax deposit or a guarantee on a major credit card is required to confirm a reservation.

    The discounted rate will be honored until the ASTM block is full, but no later than September 20th 2019. The ASTM rate is $199 plus tax. You may be charged a higher rate if reservations are received after the cut-off date, or when the block is full. The hotel requires a deposit of one night's room and tax or a major credit card to guarantee your reservation, once submitted a confirmation number will be provided electronically.

    CONFERENCE INFORMATION

    ASTM MEMBERS WORK AREA: ASTM will provide computers with internet connections. This area will also be wireless for your laptop computer. You may visit the ASTM website, apply or renew your membership, order publications or check your email. The complimentary wireless service is limited to the members' work area and the meeting rooms.


    TRANSPORTATION AND DIRECTIONS

    SHUTTLE SERVICES: Super Shuttle is a ride service that will take a hotel guest anywhere from 40 minutes to an hour between the hotel and the William P. Hobby airport. Cost is $38 for up to three passengers. For travel to the George Bush Intercontinental Airport, rides will take anywhere from an hour to an hour and twenty minutes, with a cost of $51 for up to three passengers.

    TAXI: From The William P. Hobby Airport, the cost of a taxi is estimated to be $30. From The George Bush Intercontinental Airport (IAH), the cost of a taxi is estimated to be $52.

    PARKING: Valet parking is available with rates of $45 daily parking. Off-site parking is also available at an hourly rate of $8 or $30 daily. 10% off Self-Parking for ASTM registered hotel guests will be available. The self-parking garage is next to the hotel and does not offer in/out privileges.


    ASTM TRAINING SESSIONS

    ASTM staff will provide several training sessions on various subjects to educate and assist officers, members, and non-members of ASTM committees. The following topics will be discussed:

  • ASTM International Orientation (Monday) 12:00pm - 1:00pm

    Meeting attendees are invited to a welcome and orientation session. This session will provide a brief introduction to ASTM, its process, electronic tools, and international activities. This is an interactive session and questions are encouraged as we would like attendees to feel comfortable in participating at their standards meetings. Facilitated by an ASTM staff member, this session also provides new and experienced members and visitors a chance to connect at the beginning of the Committee Week.

  • Balloting and Handling of Negative Votes (Tuesday) 12:00pm - 1:00pm

    This session will inform members on how to effectively move documents through the ASTM balloting process, from initiating a subcommittee ballot through main committee and Society review. A review of the role of COS (Committee on Standards) is included. In addition, learn to get positive results from negative votes! Special focus on the procedural handling of negative votes throughout the balloting process.

  • Developing and Revising an ASTM Standard (Wednesday) 12:00 pm- 1:00pm

    This editorial training module will follow both new and revised standards to publication. The module will cover the key roles of your editor and the standard's technical contact in the writing, revising, and balloting of your standard until it is approved and published, as well as review ASTM's tools that help with the process. Included in the module will be a brief review of work item registration and the three stages of balloting.

  • Workshop: Introduction to the Interlaboratory Study Program (ILS)
    Monday, 12:00pm - 1:00pm
    Wednesday, 8:00am-9:00am

    This module is designed to familiarize members with the ILS Program, its features, benefits, capabilities, and the online registration process. Research Reports will also be specifically addressed during the session. This workshop will benefit anyone planning to run (or participate in) an interlaboratory study to generate a precision statement for a new or existing ASTM test method. Presented by Phillip Godorov and Caitlin Farrell, ASTM ILS Staff.

  • Interlaboratory Studies (ILS) Question and Answer Sessions
    Monday, 8:00am - 10:00am and 3:00pm - 5:00pm
    Tuesday, 8:00am - 10:00am and 3:00pm - 5:00pm
    Wednesday, 9:00am - 10:00am and 3:00pm - 5:00pm

    In addition to the ILS Workshop schedule above, several ILS Q&A Sessions have been planned with ASTM ILS Staff. Please feel free to drop by and ask questions about, or brainstorm ideas for, your upcoming interlaboratory studies. ILS representatives will also be available to review the status of your current interlaboratory studies and help you plan the next steps. Sessions are open to all, and no appointments are needed.

    COMMITTEE ACTIVITY FEES

    Several ASTM committees collect a voluntary fee to support activities associated within the committee such as awards, social events, etc. Each committee determines the amount and encourages your contribution. The activity fee can be paid online in advance on the preregistration page. This voluntary contribution is not an ASTM International society fee.


    SPECIAL ACTIVITY

    Several committees hold planned banquet events. You have the ability to purchase your tickets online in advance on the preregistration page.



    COMPLIMENTARY SUPPORT SERVICES

    ASTM meetings offer on-site services from the ASTM staff. We provide photocopying service, audio/visual equipment, and a members' work area with complimentary internet computers.

    DRESS/WEATHER

    Attendees have the option to determine their dress at ASTM meetings. Business casual attire is acceptable at this meeting and appropriate for Houston TX. The average temperatures in October range from a high of 81 degrees Fahrenheit to a low of 59 degrees Fahrenheit.
