3/3/2020 - ASTM International has been closely monitoring the unfolding situation with COVID-19/Coronavirus. We are closely following the direction given by the US State Department as it relates to travel. Based on information available now, our Spring Committee Weeks in Boston will be held. Our registration numbers for the April Boston Committee week are quite strong. Of course, a significant escalation of events in the US, particularly Massachusetts, could impact attendance or cause us to take different action. Similarly, other ASTM meetings in the US are expected to be held. We are still evaluating the Committee Week meetings planned for Prague at the end of April. We will keep you informed as we receive additional information and make any changes with our scheduled meetings.

    ASTM TRAINING SESSIONS

    ASTM staff will provide several training sessions on various subjects to educate and assist officers, members and non-members of ASTM committees. The following topics will be discussed:

  • ASTM International Welcome and Orientation (Monday) 12:00pm-1:00pm

    Meeting attendees are invited to a welcome and orientation session. This session will provide a brief introduction to ASTM, its process electronic tools, and international activities. This is an interactive session and questions are encouraged as we like attendees to feel comfortable in participating at their standards meetings. Facilitated by ASTM staff, this session provides new and experienced members and visitors a chance to connect at the beginning of the Committee Week.

  • The Standards Developing and Balloting Process (Wednesday) 12:00pm-1:00pm

    During this joint Technical Committee Operations and Editorial Module, we will focus on the process of standards development for new and existing standards. Topics covered include: Committee Balance, Subcommittee and Main Committee Balloting, review of the role of COS (Committee on Standards), handling of Negative votes, and the role of the editor and technical contact. This session will provide important and useful information and is intended for all members.

  • Refreshments will be available at all training sessions.


    PREREGISTRATION

    You must be registered to attend ASTM Meetings. Use our online registration form where you have the ability to register for multiple events, pay fees in advance using a credit card, and receive an electronic confirmation. You may register online at the "Register" link above.

    When you preregister online, you will receive emails on committee meetings, final announcements, and other information that will help you prepare for your meeting. The registration information significantly assists us in preparations for the committee week.

    The cut-off for preregistration is Wednesday, May 6th, 2020. After this date, please register on-site at the ASTM Registration Desk at the Boston Marriott Copley Place


    HOTEL INFORMATION

    All meetings will be held at The Boston Marriott Copley Place, 110 Huntington Ave, Boston MA 02116.

    Hotel Reservations: The May Committee Week hotel provides prime meeting space for your committee meetings, events and activities. ASTM International is legally bound to fill the contracted guest room block and an inability to fill the block will result in severe financial penalties which could affect negotiations and increase costs for future meetings. Please support ASTM International by reserving your sleeping room at our official May Committee Week Hotel and Meeting site.

    Reservations may be made via the hotel's online reservation system at Boston Marriott Copley Place.Reservations may also be made by telelphoning the hotel directly at 877-901-2079 (Toll-free Reservations).

    The discounted rate will be honored until the ASTM block is full, but no later than April 9th, 2020. The ASTM rate is $209 plus tax. You may be charged a higher rate if reservations are received after the cut-off date, or when the block is full. The hotel requires a deposit of one night's room and tax or a major credit card to guarantee your reservation, once submitted a confirmation number will be provided electronically.

    IMPORTANT! ASTM Rates are non-commissionable. If you book your reservation through a travel agent, they must ask for a non-commissioned ASTM Group Rate. ASTM cannot adjust your higher rate if commissions were paid to a travel agency.

    INTERNET: The Boston Marriott Copley Place offers complimentary in-room basic Wi-fi for all guests under the ASTM group rate.

    CANCELLATION/CHANGE POLICY: At The Boston Marriott Copley Place, notice of cancellation must be received 72 hours before your arrival day, in order to avoid incurring one night's room and tax penalty charge.

    PUBLIC TRANSIT: The most convenient transit option to the Boston Marriott Copley place, from the Boston Logan International Airport is to travel using the Logan Express bus service. The Logan Express will pick-up and drop off travelers from terminals A, B, C and E. From the terminal you will take the Back Bay bus route. The station closest to the Boston Marriott Copley Place is the Back Bay stop, about a 5 minute walk through the Copley Place Mall to the hotel. Cost per ticket is $3.     TAXI: Taxis in Boston are available for curbside pick-up at the Boston Logan International Airport, located in all terminals.There are various Taxi companies in the Boston area to choose from.     ASTM MEMBERS WORK AREA: ASTM will provide computers with internet connections. This area will also be wireless for your laptop computer. You may visit the ASTM website, apply or renew your membership, order publications or check your email. The complimentary wireless service is limited to the members' work area and the meeting rooms.

    ASTM meetings offer on-site services from the ASTM staff. We provide photocopying service, audio/visual equipment, and a members' work area with complimentary internet computers.


    DRESS/WEATHER

    Attendees have the option to determine their dress at ASTM meetings. Business casual attire is acceptable at this meeting and appropriate for Boston. The average temperatures in May range from a high of 67 degrees Fahrenheit to a low of 50 degrees Fahrenheit.


    MEMBER LUNCH

    ASTM International invites you for Members' Lunch with the Chair of the Board and ASTM President on Tuesday, May 12th at 12 Noon at the Boston Marriott Copley Place. At this lunch, you will hear an update on ASTM and have an opportunity to ask questions or share your comments. You may pick up your ticket at the ASTM Registration Desk.


    ACTIVITY FEES

    Several ASTM committees collect a voluntary fee to support activities associated within the committee such as awards, social events, etc. Each committee determines the amount and encourages your contribution. The activity fee can be paid online in advance on the preregistration page. This voluntary contribution is not an ASTM International society fee.


    SPECIAL ACTIVITY

    Several committees hold planned banquet events. You can purchase your tickets online in advance on the preregistration page.


    MISCELLANEOUS

    Thank you for payment of an activity fee, special event fee, or symposia fee during your ASTM International meeting registration.

    ACTIVITY FEE: Activity Fees are a voluntary contribution to that committee, in the event you need a refund, please request by emailing meetings@astm.org. Due to the voluntary nature of this fee you may request a refund up to the last day of the event. You will see a refund on your credit card statement within 5 to 10 business days.

    SPECIAL EVENT FEE: For a special event fee, which may include banquet functions or committee activity such as; dinner, reception, lunch, or tours, refunds must be requested within five (5) business days prior to the event. The refund will appear on your credit card within 5-10 business days.

    SYMPOSIA REFUND: A refund of the symposium fee will be honored only if requested at least 10 business days prior to the workshop.
